Getting Started with Managed MailWizz

What your managed MailWizz server includes, how to log in, and the four things to set up before you send your first campaign.

Managed MailWizz is a dedicated email marketing platform running on your own server. You get the full MailWizz application, a managed sending path to the internet, and the underlying server maintained, monitored, and backed up by us.

This guide covers what is included, how to log in, and what to configure before your first campaign.

What is included

  • A dedicated server running MailWizz, maintained and monitored by us
  • A managed outbound sending path, so you do not need to configure an SMTP provider or maintain sending IPs yourself
  • Automatic updates and backups of the server and the application
  • A sending quota matching the plan you purchased

The delivery server inside MailWizz is already configured and connected when your server is handed over. You do not need to add one.

Logging in

Your welcome email contains your MailWizz URL and your login credentials. The username is the email address on your account.

Keep the welcome email. It contains the only copy of your initial password that we send. If you lose it, we can reset the password for you, but we cannot retrieve the original.

If the interface reports a licensing or connection problem at any point, open a support ticket rather than changing settings yourself. Those are almost always server side and we can resolve them quickly.

Before your first campaign

Four things need to be in place. Each has its own guide, and the order below is the order we recommend.

1. Add and authenticate your sending domain

Your campaigns must be sent from a domain you control, authenticated with SPF and DKIM. Sending from a free mailbox address such as Gmail or Outlook will fail modern authentication checks and land in spam regardless of anything else.

2. Set up bounce processing

Without a bounce mailbox, MailWizz reports zero bounces because nothing is collecting them, not because every address is valid. Invalid addresses then accumulate on your lists invisibly, and they are one of the strongest negative signals a mailbox provider can see.

3. Use your own tracking domain

By default, the links and the open tracking pixel inside your campaigns point at your server’s platform hostname rather than your own domain. Using your own domain removes that mismatch and is worth doing before you send at volume.

4. Plan your warm up

A new sending setup has no reputation yet. Sending your entire list on day one is the single most common reason a first campaign lands in the spam folder.

Creating your first list

Lists live under Lists in your customer area. You can create a list manually, import a CSV, or connect a signup form.

When importing an existing list, MailWizz marks the imported subscribers as confirmed. This is correct if those addresses were already confirmed on the platform you are migrating from. If they were not, or if you are unsure, treat the list as unverified and read the warm up guidance before your first send.

Creating your first campaign

  1. Go to Campaigns and choose Create new campaign
  2. Pick the list or segment to send to
  3. Set the From name, From email (on your authenticated sending domain) and Subject
  4. Build or paste your template
  5. Send yourself a test first, using the test option on the template step
  6. Review the confirmation step, then schedule or send

Always send a test to yourself first, ideally to an address at a different provider from your own. It is the fastest way to catch a broken template, a missing unsubscribe link, or an authentication problem before it reaches your list.

Required content

Two things must appear in every campaign, and MailWizz will warn you if they are missing:

  • An unsubscribe link, using the [UNSUBSCRIBE_URL] tag
  • A physical postal address, using the [COMPANY_FULL_ADDRESS] tag

These are legal requirements in most jurisdictions and mailbox providers treat their absence as a spam signal.

Open a ticket from your client area for anything server side: licensing, the delivery server, bounce mailbox connection, tracking domains, or sending quotas. Campaign content, list management, and template design are things you control directly in the application.
